Everything you need to know to make the most of Papilio.
Services Management
Services is the core work-tracking area. Each service represents a discrete engagement for a client (e.g., GST Return filing, Statutory Audit, Tax Advisory).
Services List View
- Progress Bars — Visual task completion percentage for each service.
- Due Dates & Status — Colour-coded to flag overdue and approaching deadlines.
- Global Search — Find any service by client name, service type, or ID.
- Tabbed Filters — Switch between All, Active, Due, Overdue, Completed, and Cancelled views.
- Bulk Actions — Select multiple services to Complete, Cancel, Reopen, or update Due Dates in one go.
Creating a Service
Click Add Service and complete the form:
- Client — Select the client this service is for.
- Category & Service Type — e.g., Category: Taxation, Type: GST Return.
- Template — Optionally apply a template to auto-populate tasks.
- Priority — Low, Normal, High, or Urgent.
- Start & Due Dates — For deadline tracking and calendar visibility.
- Recurrence Pattern — Set monthly, quarterly, half-yearly, or annual recurrence for repeating work.
- Delivery Manager — The manager responsible for delivering this service.
- Director / Partner — The signing partner or firm director overseeing this engagement.
Service Detail View — Tabs
📋 Detail
The main workspace. Contains the tasklist (from the template or built manually). Tasks can be reordered via drag-and-drop, assigned to team members, and given individual due dates. Sub-tasks can be added within each task. Check off tasks as they are completed to update the progress bar.
👥 People
Associate team members with this service and define their specific role on the engagement. Only associated users (or those with Manager/Admin access) can view and work on the service.
💬 Messages
Contextual chat tied directly to this service. Use @mentions to notify specific team members. Use the Notify button to send an email alert to a user about an important message. Keeps all service-related discussions in one place.
💰 Financials
View projected vs. actual billing. Add Invoice Items here to queue billable work for invoice generation. Shows estimated cost, actual logged time cost, and variance.
⏱ Timelog
Every time entry logged against this service by any team member. Filter by user or date range. Useful for verifying billed hours and reviewing effort distribution.
📁 Attachments
Files uploaded specifically for this service. Files can be linked to individual tasks for context. Supports all common file types. Feeds into the Vault for global access.
🕵️ Activity
A chronological audit trail of every action taken on this service — status changes, task completions, file uploads, messages, and people additions — with timestamps and the acting user.
