User Guide

Everything you need to know to make the most of Papilio.

Manage Users & Roles

Navigate to Admin → Manage Users to add, edit, and deactivate team members. The User List shows last login time, number of assigned services, and active/inactive status.

Adding a New User

Click Add User and fill in:

  • Personal Info — Full name, email address, and department.
  • Office Location — Branch or office the user belongs to.
  • Role & Permissions — Assign the appropriate role and optional special rights.

User Roles

Administrator (Super Admin)

Full access to all modules and settings. Exclusive rights include: user management, file deletion across the system, access to Admin Home and all financial settings.

Manager / Administrator

Can manage clients, services, people, and templates. Can close and reopen services. Access is broader than Executives but limited compared to Super Admin.

Executive (Staff)

Access limited to services they are assigned to. Can upload files, log time, manage tasks, and send messages within those services.

Special Permissions

  • Vault Access — Grants global access to all files in the document repository regardless of service assignment.
  • Invoicing / Payment Management — Grants access to generate, edit, and send invoices and mark payments.
